Please read the policies below since by making a reservation, you agree to follow ALL policies, terms and conditions.

St. Francis Cottage is an exclusive property where every guest reservation is both important and special to us. If your travel plans change and you must cancel your reservation, we ask that you please call us to discuss the situation. Below are our general deposit, payment and cancellation policies.

Reservations: We accept most major credit cards to confirm a reservation. Please let us know at booking if you will be using a gift certificate or discount voucher. We will respond with a confirmation email; should you not receive it, please call us at 423.400.4177 to confirm your reservation.

Room Occupancy: Room rates are based on single or double occupancy, and they include complimentary beverages, evening social hour, and a full gourmet breakfast. An additional fee of $25.00 per night will be charged for each additional guest, to accommodate food and housekeeping costs. Please understand that guest rooms, their amenities and facilities are for the exclusive use of registered guests only, including weddings and events.

Check In and Check-Out: Check-in is between 3:30 pm and 7:00 pm.. We gladly accommodate travel schedules requiring later check-in, with prior notice by phone; PLEASE CALL to schedule late check-in. Check-out is by 11:00 A.M..

Safety Issues: For the safety of all guests, and as required by our insurance, open flames of any type are not allowed inside the Cottage. This includes, but is not limited to, lighters, smoking items, candles, incense, or other scent-related products.

Children:  SFC is not suitable for guests under 12 years old. Guests will be responsible for their children's safety and held liable for any damages caused by any member of their party.

Deposit and Payment for room reservations and add-ons (not event-related): A $50 non-refundable deposit is charged at the time of booking for any stay. This deposit is applied to the balance of your payment. Payment in full is due at check-in, and we accept cash and most major credit cards. We do not accept pre-paid credit or pre-paid debit cards. Payment for gift shop items and gift certificates is collected when purchased. (See below for special event, elopement and wedding policies.)

Room Cancellations and Changes for room reservations and add-ons (not special event-related): Cancellations and changes (for any reason) must be made by 12:00 pm the day prior to the arrival date, or a fee of one night’s stay plus taxes will be charged. Unless canceled, we are unable to issue a refund for any room(s) reserved but not occupied and you will be charged for the full reservation along with the price of any add-on package(s). If you have reserved the entire Cottage, we require notification of cancellations and changes 30 days prior to arrival date, and the above cancellation provisions will apply. IF YOU BOOKED THROUGH A THIRD PARTY (Expedia, Hotels.com, Orbitz, etc.) you must cancel the reservation there. We will then be notified and can make any applicable refunds.

Your reservation is not deemed canceled until you have received a cancellation confirmation from St Francis Cottage.

Pets: PETS ARE ONLY ALLOWED IN THE HYDRANGEA ROOM, which is the ONLY pet-friendly room available at SFC. It is on the first floor and contains a separate outdoor entrance. Small pets are welcome (generally under 60 lbs.), with a maximum of two (2) dogs or cats permitted. Any pet that is dangerous or aggressive towards others is prohibited. The only pets allowed in the public areas of SFC are certified / documented SERVICE ANIMALS.

A non-refundable fee of $25.00 + applicable taxes per reservation will apply for additional cleaning and maintenance. PETS ARE NOT ALLOWED ON THE FURNITURE NOR BEDDING, except that provided for animals. Pet owners are responsible for any and all damages to the property or its furnishing caused by their pet. If there is any damage to the SFC furnishings or grounds caused by a pet, the credit card on file will be charged for repairs or replacements, as appropriate. ALL PETS must be house trained and you must provide name, breed, age, and weight of animal prior to arrival. Denial of any animal is at the innkeeper's discretion and a final decision.

Pets must be crated when unattended (whether owner is on premise or not) and you are responsible for your pet’s behavior when you are not in your room. If your pet cannot be left alone without negatively impacting the stay of other guests (such as by whining or barking), you will need to take your pet(s) with you when you leave your guest room. Any guest with a pet must provide the innkeepers with a cell phone number so that we can notify you should your pet cause any disturbance while you are away.

Due to Hamilton County Health Regulations, pets are not allowed in the interior common areas. However, well-behaved, non-barking dogs are allowed on the porch and the exterior grounds. Since SFC is not entirely secured by fencing, for the safety of your pet and other guests, pets must be leashed when taken outside. You are welcome to walk your pet anywhere on the property. You are responsible for cleaning up and removing your pet’s waste. Plastic waste bags and a disposal bin are provided.

Hosting Events: In consideration of our guests, if you plan to host an event at SFC, such as a family reunion or a retreat, all rooms must be rented as part of the event package. A minimum two-night stay is required.

Deposit and Payments for Events and Whole-House Rentals : When booking all rooms at the Cottage, we require a 50% deposit for all rooms and any add-ons, plus applicable taxes. The deposit is applied to your balance. Payment in full is due at check-in.

Cancellation for Events and Whole-House Rentals: Cancellations and changes (for any reason) have a significant impact on a small business like ours. They must be made at least 30 days prior to arrival date, or a fee of one night’s stay, plus add-ons, will be charged. Room reservations canceled 30 days or more from the arrival date will gladly be refunded, exclusive of a $175.00 processing fee. Unless canceled, we are unable to issue a refund for any room(s) reserved but not occupied and you will be charged for the full reservation along with the price of any add-on(s).

Your reservation is not deemed cancelled until you have received a cancellation confirmation from St Francis Cottage.

Force Majeure: In the event of a natural disaster (such as severe storms causing an extended power outage), whereby it is not safe for guests to stay at SFC, we will do our best to find you other accommodations or refund the cost of your unused reservation.

Theft and Damage: SFC is not responsible for loss of guests' possessions or money. For our guests' safety, security cameras monitor the premises (excluding guest rooms). The credit card on file will be charged for any damage to SFC (including linens and towels too soiled to be used again), or theft of SFC property .
